Order Management

In this position, you will be responsible for a wide range of operational tasks related to both domestic and international art transactions — including order management, inspection, documentation, and coordination with relevant stakeholders.
You will also take the lead in designing, optimizing, and automating standard operational processes to support the company’s growth in transaction volume and global expansion, helping to build a stable yet flexible operational framework.

▼ Art Transaction Operations (Domestic & International)
・Manage orders, including order processing, coordination with inventory and warehouse teams, and monitoring of delivery schedules and progress
・Verify artwork conditions and standardize inspection workflows
・Prepare and review documentation such as certificates of authenticity, invoices, and contracts
・Communicate and coordinate with clients, artists, and galleries

▼ Operation Design & Process Improvement
・Design and document standardized operation workflows in anticipation of transaction volume growth
・Build a robust data management system for transaction records, customs documentation, and related information
・Improve operational efficiency through system implementation, tool integration, and automation initiatives
・Establish standardized procedures and propose improvements for handling issues such as delays, damages, and customs-related troubles
・Develop flexible operational structures tailored to different market environments worldwide

Essential skill

・Minimum 1 year of practical experience in order management, sales administration, or logistics-related operations
 Industry background is flexible — experience in art, import/export, e-commerce, or manufacturing is welcome.
・Ability to manage multiple projects simultaneously with accuracy and attention to detail
・Strong coordination and communication skills to collaborate effectively with internal and external stakeholders
・Proficiency in handling English emails and documentation (reading and writing level)
・Basic PC skills, including familiarity with Google Spreadsheets, Excel, and Notion

Preferential skills

・Practical experience in international transactions, customs procedures, or logistics operations (e.g., import/export, cross-border e-commerce)
・Experience in workflow design and operational process improvement
・Work experience in the art, gallery, or auction industry
・Experience in customer relations and business communication in English
・Ability to handle multitasking and adapt flexibly in a startup or venture environment

Salary/Benefits

Full-time employee

Salary

Monthly Salary: ¥255,000 – ¥400,000 (includes 30 hours of fixed overtime pay)

Bonus: Performance-based bonus paid twice a year (based on personnel evaluation)
Salary is negotiable depending on experience and ability.

The Wall 3F, 4-2-4 Nishiazabu, Minato-ku, Tokyo

10 minutes walk from Roppongi Station on the Toei Oedo Line or Hiroo Station on the Tokyo Metro Line.

Working hours

・Flextime system / Standard working hours: 8 hours (core time 11:00–15:00)
・Work location: On-site (office-based)
・Workdays: Monday to Friday
・May be required to work on weekends and public holidays when the gallery attached to the office is open
